White Wolf Convention and Event Support Guidelines

Thanks for planning to include White Wolf in your upcoming convention or event. We always make an effort to support conventions and events which make a place for our fans, players and storytellers. We do so by providing promotional materials, and merchandise prizes for White Wolf events. We also donate merchandise for charitable auctions, and White Wolf personnel are occasionally available for personal appearances.

General Guidelines for Event Support

1. Check Your Head, or Make Sure You're With the Con. Requests for convention support must be made by an authorized representative of the convention. This can include, but is not limited to, convention organizers or persons in charge of White Wolf games (usually Storytellers or a retail store) at the convention. If the request is being filed by White Wolf Demo Team, it must originate from the Pack Alpha.

2a. Got Wolf? Those requesting support must send a convention schedule including a list of White Wolf events. This will allow us to determine the level of prize and promotional support needed for a particular convention. Promotional materials may be provided to conventions without scheduled White Wolf events on a case-by-case basis. This schedule should be printed although web sites for conventions can suffice when supplemented by a schedule from a prior convention by the same name or organized by the same group. Please make sure that this information contains details on the reasons behind the convention and its scheduling (holiday weekend, etc.). We'll also need to know the estimated number of attendants, dealers, and names of other manufacturers who will be attending the show.

2b. Is This Your First Convention? If this is a first-time convention and you do not have a printed schedule of events, we'll need to verify your event through a retail store or a civic group. In other words, we'll need references. Frequently, conventions will be promoted by local hobby or book stores or created by clubs (for example, a school game club with a staff sponsor). These organizations must be able to verify your information.

3. Be Timely. Requests must be made no more than 90 days before the convention, and no less than 60 days before the convention. This will allow us adequate time to verify the authenticity of and to ship materials to the convention.

4. No Scrubs. Requests must be accompanied by a valid address and a telephone number at which we can contact the convention organizers. Your cell-phone is acceptable as a back-up, your pager is not. If we cannot contact the convention organizers within 30 days of receiving the request, the request will be denied.

5. Tell Us About It. After you get your big box of cool stuff, everybody "oohs" and "ahhs" and the convention is over, make sure to send us a nice thank-you note and a report of how the events went. Include a 150 word synopsis of who got any awards and why. Heck, we might even feature the winners on a special section of the Convention page in the future.

Staff Attendance

Occasionally, it is possible for White Wolf employees to make appearances at conventions. However, we are limited to the number of conventions we can attend in any given year by a convention budget. If you would like members of the White Wolf staff on-hand for a convention that is not included in the budget, here's how to go about it.

White Wolf staff can contribute to your convention in a number of ways. In the past, we've participated in panel discussions and question and answer sessions. We'll also be glad to sign books and do autographs, and, from time to time, we can run games as well.

1. Contact the person you'd like to attend the convention. If you do not know how to contact particular people at White Wolf, or you would simply like a White Wolf representative, use the Contact Us webform. Keep in mind that White Wolf and staff may have schedule conflicts with your convention.

2. The convention or convention organizers must provide expenses related to travel and boarding for any and all persons requested. White Wolf may also ask that a booth in the dealers room be provided at no expense to us since fans often like to have a place to meet White Wolf staff.
