How To Run a V:TES Tournament
Running a Vampire: The Eternal Struggle tournament is easy!
Step-By-Step guide to a successful tournament:
1. Contact your local Prince (optional): The V:EKN has a list of Princes (volunteers who help promote the game in their local areas) worldwide who help organize local tournaments. One of them would be happy to help you organize yours, or, if there's no Prince in your area, you could become a Prince yourself. To find out how, contact Carl Pilhatsch <carl.pilhatsch@chello.at>.
2. Contact your local retailer: Coordinate with your local game retailer to arrange the time and place for the tournament. You may also want to place a special order with your retailer for White Wolf product:
WW2567 V:TES Tournament Kit for 12 Players
which retailers can order from their distributors (list of White Wolf distributors).
Soon we will have a downloadable order form here for convenience to help you place the special order with your retailer.
Each kit contains several promotional cards and a prize for the tournament winner. Each kit has enough material to support 12 players, so order enough kits to meet your expected attendance. Each kits costs approximately US$12, which can be recovered by charging a small entrance fee for the tournament. If any material from kits is leftover, you can keep it for your next tournament. The cost reimburses distributors and retailers for handling these special order items; White Wolf does not receive any of that money (only the expense of making and shipping the kits).
Depending on availability and ordering times, the kits may take 2 days or 2 months to arrive by special order. Kits should normally arrive in less than 2 weeks. It is recommended for your first tournament that you not announce or advertise the tournament until the tournament kits have arrived.
Using the tournament kits is optional. Feel free to hold a tournament without them. Players usually come for the fun of playing more than for the prizes.
3. Request Sanctioning. Fill out the event form at least 30 days prior to your event. Once approved, your event will appear on the event calendar.
4. Advertise! To ensure that as many players as possible attend your event (and because it is required by the V:EKN Tournament Rules), advertise your tournament (with fliers, etc.) at least 30 days in advance. Tournament Flier (1MB jpg).
5. Ready your Resources. You'll want to have a copy of the latest game rules, tournament rules, and rulings and errata on hand. If you'll have access to a computer on-site, you'll also want to make use of The Archon
, a Tournament Tracking spreadsheet for Excel.
6. Register Your Players. At the start of your tournament, collect the V:EKN number of each player. If a player doesn't have a V:EKN number, record their information and fill out the Player Registration form for each new player after the tournament.
7. Run Your Event.
(This is the fun part.)
8. Report the Results. Send the complete Archon spreadsheet (preferred) or a text file with data for every game played at your tournament (players at the table, with V:EKN numbers, and number of VPs won by each player) to Robyn Tatu <vtesratings@white-wolf.com>. If you registered any new players, be sure and enter that information on-line as well.
